List Building Basics - How To Write Responsive Emails

When having a responsive email it is vital to ensure that simple steps are taken to ensure professionalism at all times. Whether it is an automotive response email or a personal response email you should follow simple grammar rules. An email is the same as a letter.

1. The Email should have a heading, a body, and a closing. These three points should NOT be missing. If possible use the person’s name that you are responding to. Begin by thanking them for their Email and then respond accordingly. When concluding the body, again thank them for their time and Email. You can never thank them enough! And then use a proper closing. Keep your Email short and to the point. Stay on track with what the subject pertains to! Try not to be too broad or vague. Use simple language and be respectful at all times. Explain terminology, even if you feel that they would be aware of what you are discussing.

2. If the responsive Email is automated, it is important to appear professional as well. Address key points in the email. Thank them for their inquiry, provide an adequate time line of how and when they will be responded to and if possible provide alternate means of communication for further inquires (a telephone number or other Email address).

3. If the responsive Email is a personal Email it is again important to appear professional. Address the specific question or comment by restating what the sender addressed. This will remind them of the subject and provide trust that you addressing specifically their concern or care. Provide all the related information that will answer the question or concern. If possible provide additional resources and contact information. Thank them for their time and then end your email.
