Medical Billing - Advanced Report Generation

Previously, we talked about how most DME medical billing software programs have report generation capabilities and discussed the basics of how data is pulled in these programs. In this installment we're going to discuss some advanced medical billing report concepts. If you think you won't use some of this, you haven't been in the business long enough.

One of the most common reports is patient labels. The reason is simple. When you are billing a patient, you don't want to have to address each envelop by hand. But because medical billing software is not a label making program, this function is usually neglected as far as making it part of the program itself. So what they do is include a report generator that will print out patient records in a format that will fit on a mailing label. Some programs include the actual format. Others make it so that you have to provide the format yourself, meaning you have to go into the report generator and program the label format yourself.

The way most programs all you to do this is simple. You go to the report generator, pull up the database you want to use, then designate the fields you want to print. You will then be given a graphical layout that will allow you to place these fields on the printed page the way you want. To specify a label format you will have to duplicate the first format down the length of the page, however many inches apart for each record so that it will fit exactly on the label itself. This does take some trial and error.

Another advanced report generator application is printing out revenue sorted by doctor, printed out from high to low income earner. This actually requires several steps in order to accomplish this task.

The first thing you have to do is specify which kind of report you want. In this case, it is a sales report. The next thing you want to do is designate the fields from each database that you want printed and align them on the page just the way you did with the patient labels. In this case, however, there will be many more fields. After you have your report laid out, the next thing you want to do is specify that you want the report to give totals by doctor. There will usually be a sort option somewhere in the menu system that will allow you to sort by just about any field in any database in the system. What will then happen is that the system will take each dollar amount for each doctor in the system and store it in an array variable. After the program is done running, it will print out the total of that array variable for each doctor. To print from high to low or low to high will usually require choosing another option in the sort function.

Fortunately, if you're a medical billing person, these reports are usually very straight forward and very easy to read, which is a good thing because programming these generators is anything but easy.
